Salesforce for Real Estate Sales and Brokers
Property sales involve many enquiries, few decisions and long follow-up. Here is how Salesforce helps developers and brokers manage each stage well.

Real estate generates large enquiry volumes from property portals, ads, websites and channel partners, but only a small share become bookings, often months later. Sales teams juggle site visits, negotiations and paperwork, while marketing tries to keep long-consideration buyers interested without overwhelming them. After the sale, payment milestones, handover and, for rental or managed property, ongoing resident service create a second relationship that most CRMs handle poorly.

Challenges developers and brokers face
- Lead leakage. Portal leads arrive by email or in spreadsheets, sit unassigned for hours and go cold. Duplicate enquiries from the same buyer across portals inflate pipeline.
- Channel partner conflicts. Brokers and channel partners register the same buyer, leading to disputes over attribution and commission.
- Site visit no-shows. Visits are booked by phone and not confirmed, so sales staff wait for buyers who never arrive.
- Inventory out of sync. Unit availability, pricing and holds live in an ERP or spreadsheet, so reps promise units that are already blocked.
- Post-booking silence. After booking, buyers hear only payment demands, which damages referrals.
Use cases mapped to Salesforce
Portal lead capture and routing
Leads from portals and ads land in Salesforce, are deduplicated and are assigned by project, budget or language within minutes.
→Site visit booking and reminders
Visit appointments trigger confirmation and reminder messages, with a follow-up path based on attendance.
→Channel partner portal
Experience Cloud lets brokers register buyers, see status and avoid duplicate registrations under clear rules.
→Payment milestone automation
Flow creates tasks and reminders as construction milestones are reached, with documents attached to the booking record.
→Inventory and ERP integration
Unit availability, holds and pricing synchronised from the ERP so reps quote current information.
→Resident and owner service
Service Cloud cases for maintenance, handover snags and queries, with status updates to residents.
→Designing the lead-to-booking pipeline
A clear pipeline reduces disputes and leakage. A typical structure:
- Enquiry captured as a Lead with source, project and campaign attached.
- Qualification by a pre-sales team, recording budget, timeline and unit preference.
- Site visit scheduled and confirmed, with attendance recorded.
- Negotiation tracked as an Opportunity linked to specific units.
- Booking captured with payment plan, documents and the agreed price.
- Post-booking milestones and handover managed through tasks, cases or a dedicated object.
Agree duplicate rules early. A buyer who enquires on three portals should become one person with three sources, not three leads competing for attention. Channel partner attribution needs an explicit rule (for example, first valid registration within a defined window), enforced in the system rather than argued over afterwards.
Messaging channels and consent
In India, buyers often prefer WhatsApp and SMS over email. Commercial SMS requires registration of senders and templates on the TRAI DLT platform, and WhatsApp business messages use templates approved by Meta. Plan for these approvals in your timeline, and check which WhatsApp and SMS options are available for your Salesforce products and editions. India's DPDP Act requires a clear purpose and consent for processing personal data, and buyers must be able to withdraw consent. For buyers abroad, GDPR may also apply. Record consent with its source (portal, site visit, partner) and do not treat a portal enquiry as consent for unrelated projects without checking with your legal team. This is not legal advice.
Integration landscape
Property portals, ad platforms, website forms, telephony and call tracking, ERP or inventory systems, document management, payment collection, and property management systems for rentals. Portal leads often arrive through email parsing or vendor APIs; inventory usually syncs on a schedule, with on-demand checks before a unit is held.
